Asana Recovery Weekly Team Update
Guidelines for Teams, Dresscode Reminders, Meeting Etiquette for Staff, and Ideas to Help you Stay Productive in Downtime During Your Shift
Here is this week’s update for Asana Recovery team members:
Teams
Teams is an internal collaboration tool that helps us communicate directly and get an immediate response from others. For external and more formal communication, please use email. Remember to check your Teams regularly; at least once per hour when you are working.
Here are a few guidelines to follow when communicating via Teams:
Groups
This is the place where you can send GIFs, photos, and announcements for the team. Want to encourage a coworker? Did you take a photo of the meal being served? Are we celebrating an anniversary or birthday? This is where you can share those messages.
With Teams, you don't need to worry about clogging up anyone's inbox, unlike email. Keep in mind that urgency and response time in conversations in Teams is comparable to the urgency of an email. Don’t expect an immediate response even if you @mention someone in a conversation. Be sure to use private chat for urgent messages.
You can use the “like” (i.e. thumbs up) icon for acknowledging messages, (e.g. got it, sounds good, okay) instead of cluttering the chat with messages of acknowledgement.
Chat
In Microsoft Teams, you can send a more private message to one or more people using chat. The message can contain text, images, GIFs, a recorded voice message, a video clip – pretty much any type of media. The chat message you send is exclusive to those included in that chat.
Want to message a coworker that is working at another location? Need to ask a quick question about HR or IT issues? This is where you can communicate about those issues. Rather than texting or sending an email, chat allows you to instantly communicate during work.
Do not assume you have privacy in this channel. Chat is just like email in that it can be audited by the IT administrators.
Calls
The call feature on Teams is similar to Zoom or Google Meets. You can either have a video call, or audio only. Both are available through the mobile app. Always remember proper etiquette when joining a meeting: join on mute and stay muted except when speaking.
Phone calls or text messages should be used at your discretion. Think to yourself before you pick up the phone, “should I really text or call HR at 6am on a Saturday?” Remember that a request for supplies should never be made via a phone call or text message. All requests should be submitted in a work order.
