Guidelines for Company Communication, Schedule Update, Local Food Suggestion, and Employee Celebrations

Guidelines for Company Communication
Email is the number one communication tool at Asana Recovery and acts as the system of record. It is critical that we all use email effectively and appropriately.
Here are a few guidelines to help manage email communication at work:
1. Check your email regularly. This means at least once per hour when you are working and once per day when you are not working.
2. We use two types of email addresses: individual and groups. Groups are comprised of several individuals grouped into one email address on our domain. Group emails should only be used by leadership unless otherwise directed. Here is a list of the main groups used at Asana Recovery:
Asanateam@asanarecovery.com - everyone on our email domain
Clinical@asanarecovery.com - all the clinical team members
Support@asanarecovery.com - all the BHT team members
Medical@asanarecovery.com - all the medical team members
Adco@asanarecovery.com - all the admissions team members
3. Keep emails professional and do not treat them as text messages. Try to use proper grammar, punctuation, and capitalizations in your messages. We don't expect each message to be perfect, but please do your best. Please use Teams when having casual conversations.
To help guide you, ask yourself this question before sending an email: “If this email was read aloud in a court of law, how would it make me look?”
Here are a few more email guidelines to follow:
1. Never delete work-related email, just mark it as "read." Google keeps a record of all email communication in an archive so it is available for the company to use in the case of a lawsuit or investigation.
2. Follow HIPAA protocol when sending emails. Only use the client's first name and the first letter of their last name in the email subject line (ex. “Subject: Mark S”). You can use the client’s full name in the body of the email.
3. An email is assumed received when sent unless otherwise noted. You don't have to send a confirmation of receipt, like “thanks, got it,” when receiving emails from a group. This creates useless emails and clogs up our inboxes.
4. Email is not a communication tool for urgent issues. Don't be afraid to pick up the phone and call someone if needed.
5. Don't hide behind email. Again, pick up the phone and make that phone call. All company phone numbers are easily accessible on Paycom.
Scheduling update
Updated scheduling for in-patient and out-patient staff members can now be found in the bookmarks tab. As of today (March 31, 2022), we will no longer use Paycom to view schedules. Please continue to clock in and out on Paycom, as we are still using the platform for payroll. As schedule changes happen, we will notify the General tab on Teams, so be sure to check frequently.
We will post schedules on Wednesdays for two weeks and are hopeful this system will make it easier for staff to know when, where, and with whom they are scheduled. If you have questions about the schedule, please contact your immediate supervisor.

Local food suggestion
This weeks’ local food recommendation comes from David Juan: Three item combo from Mi Casa.

The restaurant is open from 11:30 a.m. to 9:00 p.m. on Monday, Wednesday, Thursday, and Sunday, and from 11:30 a.m. to 10:00 p.m. on Tuesday, Friday, and Saturday.
